Data Conversion Technical Instructions
Formatting specifications
1) Every line should match with the
corresponding line in the image. Hence the types doc pages will
automatically match with the image file pages.
2) Type the text as it appears in the image file.
3) The Text/Data in the word document is to be the same as in the
image file
4) Files are to save in MS Word (.doc files).
5) File name of DOC file must be same as image file.
6) Image’s one page will come in continuation in two pages of MS word
file.
7) Paragraph spacing should be done by using paragraph spacing
(before or after only) if done in the image file (Auto Spacing
should not be used).
8) Line spacing (single, 1.5 lines or double) should be used as
given in the IMAGE file. Although most of the files have single line
spacing. Options during the Line Spacing like "At least", "Exactly",
"Multiple" should not be used. Only first line indentation should be
used for the shift in the first line of paragraph (if visible in the
image file)
9) If the word cuts in the image file then the same should be done
in the word file. If a line ends in then a image file then the same
should be done in the word file.
10) The registration will be terminated for the non-submission of
the works for 2 times. The same rule applies to the incomplete
submissions as well.
11) The files should be saved in the .doc format and it should be
attached to the e-mail and should be sent on the given deadline date
before 6:00pm. Any submissions after 6:00pm will not be accepted.
Page Set Up
1. Page size must be A4
2. Page Orientation must be portrait
3. Margins, Top, Bottom, right, left must be 0.5
4. Margins header, footer if any in image must be 0.5
5. View layout must be print view.
6. View Zoom must be 100%
Heading Specifications
1. Style must be Heading1
2. Font type must be Times new Roman
3. Font size of the headings and sub-heading must be 14 and 11
respectively
4. Font Bold/Normal and underline must be as per image
5. Font Colour must be black
6. Alignment must be as per image
7. Two enters after Heading
Paragraph set up
1. Font style should be normal
2. Font name must be Times new roman
3. Font size must be 10 in general body text
4. Font Colour must be black
5. Paragraph alignment must be left
6. Para-Para line gap must be single
7. Paragraph line spacing must be single, options such as multiple,
exactly should not be used.
8. Paragraph first line indent must be 0.5 (Only if visible in
image).
9. Paragraph font scaling must be 100%
10. Paragraph font spacing must be normal
11. Paragraph font position must be normal
12. One space after full stop.
13. One space after question mark
14. One space after exclamation mark.
15. Para Page Number line gap must be 2. Page number must be placed
as per the image file.
16. Tab option should not be for indentation.
17. Drop cap should not be used.
18. Use of options Line break / column break / Page break is
strictly prohibited
19. Use of any OCR tool is strictly prohibited

File Name Error:
Wrong File Name will be Complete Rejection of the whole slot.
Work Submission Error:
Any other format than ZIP Complete Rejection of the whole slot.
Delay in Work Submission:
Work has to be submitted within the given deadline date and time.
The work will not be accepted if you fail to deliver the completed
work within the stipulated date and time.
Accuracy Calculations:
• Accuracy will be calculated for the complete slot and not per
page.
• A vendor must be able to achieve the desired accuracy for the
complete slot.
• Payments will be done only for the
accuracy achieved for the complete slot and not for the pages with
the desired accuracy.
• Vendor must achieve desired accuracy in two slots or the slot must
be cancelled without any notification
• The plans are designed on the amount of time the person is
spending on the project and not on the work load. So the per page
rate is different for each and every plan.
• The plans are flexible enough to choose from.
• Any extra specifications for any special book will be provided
along with the work load and vendors must follow them accordingly.
• Use of any OCR tool will result in cancellation of the agreement.
Parameters for the complete
slot rejections:
1) File name is given wrong.
(Including the zip folder name)
2) Incomplete files
3) Only .doc files should be present in the zip file
4) If the total number of Image files do not match with the total
number of word files.
5) Slot will be rejected if the Header and the Footer Option is
used. (Applicable for the images without Footer/Header)
6) If text box found the slot will be rejected.
7) Extra temporary files are found or if the file is not zipped.
8) If the text is in any other font style other than "Times New
Roman" font.
9) Colour text found.
10) If the font size is not in round figure (never use the font size
which has decimal points)
11) Page break found.
12) Section Break found.
13) Improper paragraph spacing.
14) If any Virus found.
15) Incorrect page setup.
16) Justification option should not be used at all.
17) The files should be only in .doc format. If the work is in any
other format other than .doc format the entire work will be
rejected.
18) The file should be zipped only with WinZip software.
19) Each job should be sent as a separate attachment with a separate
e-mail if you are working on multiple slots.
20) If any OCR is used for the conversion process.
